Privacy policy

This notice is written for the marketing site and demo requests. Product subscriptions (Alpha Portfolio, FinFlo Enterprise, BIPS) are covered by the contract and data-processing terms you sign with us — not by this page alone. Have counsel review before you rely on it in a filing.

1. Who we are

The data fiduciary for this website is Actlogica Solutions Private Limited (“Actlogica”, “we”, “us”). Registered in India. Office: Trendz Eashan Arcade, Madhapur, Hyderabad, Telangana, India.

For questions about this notice or to exercise rights under the Digital Personal Data Protection Act, 2023 (“DPDP Act”), write to hello@actlogica.com with the subject “Privacy”.

2. Scope

This notice applies to:

• visitors to actlogica.com and pages we host under that domain;
• people who submit a demo or contact form;
• people who email hello@actlogica.com or call the numbers we publish.

It does not apply to apply.actlogica.com (careers), which is operated under that site’s own terms, or to client production environments of our software.

3. What we collect

From a form or email you choose to send:

• name, work email, firm or family office, role, telephone;
• product interest (Alpha Portfolio, FinFlo Enterprise, BIPS, or unspecified);
• the message you write;
• your consent to be contacted about products and a demo.

Automatically, when you submit a form or we operate the site:

• IP address, approximate time, and user agent — used to rate-limit abuse;
• the page you sent the form from (including a product query in the URL).

We do not ask for client portfolio files, passwords, or KYC documents on this site. Do not send them to hello@actlogica.com.

We do not collect personal data through live chat or analytics until those tools are switched on. When Google Tag Manager / GA4, a first-party UTM cookie, or Zoho Sales IQ go live, this section will name them, the cookies they set, and the purpose, before they run.

4. Why we use it (purpose and lawful basis)

Under the DPDP Act we use this data:

• Consent — to reply to a demo or contact request, to schedule a working session, and to send follow-up that belongs to that request. You give consent by ticking the box on the form. You may withdraw it by writing to hello@actlogica.com. Withdrawal does not affect a reply already sent.
• Legitimate use — to keep the site available (security, rate limits, diagnosing faults), to keep a record of a business enquiry, and to meet accounting or legal duties that apply to us.

We do not sell personal data. We do not use form contents to train public models. We do not send marketing newsletters from this form unless we ask for that separately.

5. Who we share it with

Form submissions are sent to Pulse, our customer system, over HTTPS with a server-side key. Pulse creates or updates a lead and may email Actlogica staff so they can follow up. The website does not send that mail itself.

Hosting, DNS, and content delivery for this site may be provided by our infrastructure vendors (including, as configured from time to time, Amazon Web Services or Cloudflare). They see technical logs needed to run the service.

We may disclose data if the law requires it, or to professional advisers bound to confidence (legal, audit).

6. Cookies

Today this site sets only what the browser needs to submit a form (no advertising cookie, no login cookie). If we later set analytics or chat cookies, they will be listed here with an option to refuse non-essential ones where the law requires it.

7. Where it is stored and for how long

AWS SES and our mailboxes may process data in the AWS region we configure (we intend ap-south-1, Mumbai) and in any region AWS uses to deliver mail. That can mean a cross-border transfer. We use SES under Amazon’s customer agreement and DPDP-relevant terms then in force.

Enquiry records are kept for as long as needed to handle the request and for a reasonable period afterwards as a business record, then deleted or anonymised, unless a longer hold is required by law or a dispute. You may ask us to erase sooner; we will say if we cannot.

8. Security

Forms post to our server over HTTPS. Access to the hello@ mailbox is limited to people who answer enquiries. No method of transmission is perfectly secure; do not put secrets in the form.

9. Your rights (DPDP Act)

You may request, for personal data we hold about you from this site:

• a summary of what we have and the processing;
• correction of inaccurate or incomplete data;
• erasure, where the Act allows;
• nomination of another person to act on your behalf in the event of death or incapacity;
• withdrawal of consent for future contact about that enquiry.

Write to hello@actlogica.com. We may need to verify you are the person concerned. We will respond within the time the Act requires. You may also complain to the Data Protection Board of India.

10. Children

This site is for professionals and institutions. We do not knowingly collect data from children. If you believe we have, write to us and we will delete it.

11. Automated decisions

We do not make a legal or similarly significant decision about you solely by automated means on the basis of a demo form.

12. Changes

We will update this page when our practices change (including when analytics or chat go live). The effective date at the top will change. Material changes to how we use data already collected will be described here.
